Distinguishing Features of Work:

Under the direction of the Director of Education & Program Development responsible for the coordination and staging of association events including educational, convention and expo events. These duties include event registration, payment processing and attendance tracking, entering attendee information into the continuing education registration database, and financial reports as means of reconciliation. Performs administrative and accounting duties under the direct supervision of the VP of Operations & Finance. Duties include transaction and payment entry, collections, and accounts receivables.  Staff liaison to the Education, Convention and Trade Show Committee.
 
Illustrative Examples of Work:


  • In conjunction with the Director of Education and Program Development, works with the Education, Convention and Trade Show Committee and members to identify and coordinate potential seminars, web seminars, and special meetings.  Oversees the planning and onsite staging, as necessary. 

  • Coordinates logistics associated with the planning and staging of on-site events of the annual convention and expo, including educational programming and special events. Tasks include managing various aspects of the convention and expo including booth sales, coordinating and managing food and beverage, assisting with the hiring of speakers and entertainment, arranging setup and managing on-site activities.

  • Email Associate and Individual Membership invoices and enters payment information in the membership database and accounting system.

  • Monitors accounts for non-payment and delayed payment; performs tasks associated with the collection of accounts receivables; including making direct contact and following up with IHCA Members and Non-Members.

  • Attends the Annual Convention and Expo, typically requiring three nights and four days on-site.  

  • Takes meeting minutes at The Center’s Board of Directors’ meetings and assists the Executive Director with the meeting setup. 

  • Provides administrative support to the Illinois Society for Post Acute Long Term Care Medicine (IL-PALTC).  

  • Performs other duties as required or assigned.

 
Relevant Education and Experience: 

  • Must have experience in accounting and/or demonstration of successful experience in accounting systems.

  • Excellent organizational skills.  

  • Excellent oral and written communications abilities.  

  • Ability to work independently and efficiently.  

  • Knowledge and skill to perform the duties described in the features of this job description and knowledge and skill equivalent to two years of college.  

  • Ability to understand long term care issues.  

  • Thorough knowledge of business English and telephone etiquette.  

  • Working knowledge and experience of Microsoft suite of products and database management.  

  • Ability to maintain data in an orderly and concise manner.  

  • Demonstration of the following qualities: self-motivated, self-directed, able to make good judgments, reliable, and dependable.  

  • Professional demeanor in behavior and dress to maintain continuous satisfactory relationships with employees and the public and to deal with member relation issues courteously and tactfully.   

  • Ability to travel in state; requires valid Illinois driver’s license.
